It often happens that our customers would like ‘order’ in their office, but are not certain about any details. In this case it is advisable to contact us before requesting an offer and inquire which service would be the most suitable and less expensive for the customer. Discarding
The aim of this procedure is to remove files you do not need for administrative reasons anymore and can be destructed according to current regulations. The documents discarded by our company can always be smashed or burnt without any sanctions. A register is always made of the documents before destruction grouped by type and year. As a result of our work you would have a perspicuous archive with greater free capacity.
Forming of filing system
We either form the simplest and most perspicuous system for you if requested, or your documents can be organized into a system that is easily adaptable to your practice if needed. Naturally, registers are always made of the boxes during the procedure by type of documents or with a special agreement even of every single file.
Application of archive registers
A good archive register should be well-arranged and easy-to- understand. That is the reason why we make the registers in excel tables, which make fast file retrieval possible. The format of the drawn register is naturally also suitable for printing.
’The boxing’
A frequently asked question of our customers: ‘Must the files be wrapped?’ Well, not that we do not need but must not wrap the documents as that would make accessibility really hard. The archive boxes and containers used by our consortium are not ‘wrapping equipment’ but storing equipment of the organized material. Our aim is to retain the formed order. These tools- unlike the ‘printing’ boxes and ring binders used in every office- are suitable for maintaining the formed order for years, as these boxes are designed for storage. The function of a ring binder is to help daily office work not to store documents for 3,5 or even 10 years.
Types of document organization
- Title- level filing:
On the occasion of title- level filing documents are grouped by type of files(e.g. invoices, contracts, worksheets of given products of given location, etc.),titles are set up, then these annually repeated files are placed in their own year of origin supplied with identification. During title- level filing depending upon claims we restore the titles existing on the bases of already existing archive plan or standard practice within the documentary material. If such systems do not exist at the owner’s, in this case – according to preliminary agreement- we ourselves form titles. In case of such organizations that have been using any file register, we naturally adapt ourselves to the existing system. The most commonly used solution for document organization!
- File- level filing:
During this procedure the cohesive files are considered as organizational basis ( e.g. correspondence with supplier companies from offer requesting to agreement). The archive order is made by the restoration of time of these bases.
- Sheet- level organization:
In case of sheet- level organization we restore the possibly disrupted time and/or register number order. This procedure is only needed when serious legal consequences are attached to the knowledge of strict document order (e.g. project files, tender dossiers) or the official document filing system was used irregularly during a period, so the original order can only be restored by sheet- level controlling.
